How to create, configure, and send a service catalogue

Fotostudio allows you to create catalogues for your services and products.

You can create multiple catalogues to organize your offers according to your needs. For example, you could have a catalogue with all your sessions, another dedicated to Christmas mini-sessions, or a promotional catalogue to highlight special offers.

This allows you to present your services or products in a targeted way, adapt communication according to season or event, and simplify the experience for your clients.

Configure a session/package catalogue

Create and Configure

You can manage your catalogues in Modules > Catalogues.

To create a new catalogue, click the + Add button and then choose the type of catalogue you want to create: session/package fees or product/options catalogue.

Session/Package Catalogue

A service catalogue allows you to present all or some of your main services. You choose which services to display: for example, all your sessions, only Christmas mini-sessions, or a promotional catalogue.

Depending on your configuration, clients can book online, purchase a service, or offer a gift card.

You can also use the catalogue for prospecting, by offering just a contact form that creates a new lead in Fotostudio.

The catalogue can be shared via a public link or directly from the client’s profile.

Add Services to Your Catalogue

  1. Click the + Add Shoot Types button.
  2. Add the sessions you want to include in the catalogue.

Select sessions

  1. You can also add a subtitle, which will appear under the catalogue name in the client interface, and a description.

Subtitle and description

  1. By clicking on each shooting type, you will see the associated prices. You can move them by drag & drop or remove prices if you don’t want them visible in the catalogue.

Associate a Product Catalogue

Associating a product catalogue to a service catalogue allows you to redirect clients to your products after they select a service. You must have created at least one product catalogue.

Options include:

  • Associate it with the entire catalogue via the "Associated Product Catalogue" list on the right
  • Associate it with a shooting type via the "Edit" button (pencil ✏️ icon) on the shooting type
  • Associate it with a price via the "Edit" button (pencil ✏️ icon) on the price

To create product catalogues, see: How to create, configure, and send a product catalogue?

Actions available for Clients: Prospecting or Sales

Choose what clients can do after selecting a service:

Prospecting catalogue:

  • Fill out a contact form to become a lead
  • Booking is not automatically finalized

Sales catalogue:

  • Book a slot online
  • Purchase the service immediately
  • Offer a gift card

This section allows you to define precisely what your client can do after choosing a session.

Prospecting Catalogue: Creating a Lead

You can associate a pre-created contact form in Modules > Contact Forms with your service catalogue using the “Associated Form” list on the right.

Share the catalogue via its link: click Show, then copy the URL of the opened page.

From this page, clients can choose a service, optionally add products if you linked a product catalogue, then be redirected to the contact form to leave their information.

In Fotostudio, a new contact will be created with a shooting record corresponding to the client’s choice, including price and optionally selected products. This does not finalize the booking. You can then send the contract or continue communication manually or automatically via workflow.

Sales Catalogue

The sales catalogue allows you to offer services fully and flexibly to your clients. Once configured, clients can book an online slot, purchase a service, or offer a gift card. You can also offer sales without a date, allowing clients to purchase the service without immediately choosing a slot.

Possible Client Actions

  • Book an online slot: Activate the online booking calendar or mini-session calendar. The client selects a session and price, then is redirected to select date and time to finalize the booking. The contract and payment plan (deposit) will use defaults defined in the session type.
  • Offer a gift voucher: Decide if the client can purchase the session for someone else. In that case, the session must be fully paid.
  • Sales without date: The client purchases the service without choosing a slot immediately.

➡️ In this case ou must define a specific payment plan: for example, allow a deposit or require full payment if purchased without a date. You can also choose if a contract must be signed (send later when date is chosen).

The booking page will show only the options you enabled for this catalogue.

View the Service Catalogue Online or Send It to an Existing Client

  • Share a service catalogue online via its link: in the catalogue edit page, click Copy URL to get the online link. Use Display to preview.
  • Send a service catalogue directly to a client from their contact record. In the left column, select “Catalogue”, choose the catalogue, and click Send. The email template will appear for customization. A booking record without a date will be created, including selected price or quote (if client selected additional products).
