Example prompts for everyday situations

☀️ Starting your day

  • "Give me my schedule for today: sessions, tasks to do and unread emails."
  • "Which sessions do I have this week? Are any of them not confirmed yet?"
  • "Show me my overdue tasks."
  • "Which emails have I received since yesterday that I haven't read yet?"
  • "Are there any online bookings I haven't handled yet?"
  • "Show me quotes that have been pending for more than 7 days."

📅 Managing sessions

Creating a session

  • "Create a family session for Sophie Martin on June 14 at 10am in Central Park, New York."
  • "Create a maternity file for Emily Carter, no date yet, 'Cocoon Maternity' package."
  • "New client: Thomas Brown, (555) 123-4567, thomas@gmail.com. Create his record and a couple session on June 22 at 5pm."

Confirming, changing, cancelling

  • "The client signed the contract. Confirm Sophie Martin's session on June 14."
  • "Sophie Martin needs to move her session to June 21 at the same time."
  • "Cancel Lucas Bennett's session, he just called me, personal reasons."
  • "Set Thomas Brown's session to the 'Deposit received' status."

Brief & follow-up

  • "Show me the full brief for Claire Moore's session: contact details, quote, remaining tasks."
  • "Which July sessions don't have a quote yet?"
  • "Which confirmed sessions don't have a deposit invoice?"
  • "Show me all my newborn sessions since January, with the revenue generated by each."

👥 Managing clients

Creating & editing

  • "Create a record for Julie Davis, julie@gmail.com, (555) 987-6543. She lives at 12 Lilac Street, Austin, TX 78701."
  • "New business client: Lumiere Agency, contact: Mark White, mark@lumiere-agency.com, VAT GB123456789."
  • "Add Sophie Martin's address: 5 Rose Lane, Boston, MA 02108."
  • "Claire Davis's date of birth is March 14, 1988. Update her record."
  • "Update Lucas Bennett's phone number: (555) 765-4321."
  • "Julie Davis asked me to stop sending her my newsletter. Unsubscribe her."
  • "Thomas Brown is interested in couple sessions: note it on his record."

A contact created by your AI isn't subscribed to your newsletter, unless you ask it to (and only with your client's consent). A subscription or unsubscription made by your AI is dated as if you had done it from the contact's record.

Family & members

  • "Add to Sophie Martin's record: her son Theo, 4 years old, and her daughter Emma, 2 years old."
  • "Update the date of birth of Theo, Emma Martin's son: 05/01/2022."
  • "Emily Carter's baby has just been born. Add 'Lola', newborn (0 years old), to her record."
  • "Create a 'Dog' member type so I can add it to the records of clients who come with their pet."

Notes & tags

  • "Add a note on Sophie Martin: prefers natural light photos, no studio backdrop. Allergic to flowers."
  • "Add this note for Thomas Brown: not keen on photo shoots, prefers to be directed. His wife is very much at ease."
  • "Add the 'VIP' tag to Sophie Martin."
  • "Add the 'Wedding 2026' tag to Laura and Julian Moore."
  • "Who are all my clients tagged 'Wedding 2026'?"

Search & segmentation

  • "Which clients haven't booked in over a year?"
  • "Show me my clients with children under 1 year old, I want to offer them a newborn mini session."
  • "Which of my clients have a birthday this month?"
  • "Who are my top 10 clients by total revenue?"
  • "My clients based in Austin who had a family session, I want to send them a summer promo."
  • "Which prospects have never booked a session?"

💰 Quotes & invoicing

Quotes

  • "Create a family quote for Sophie Martin with the 'Outdoor Family' service: 1 hour shoot, 20 edited photos, online gallery."
  • "Create a wedding quote for Laura and Julian: getting ready + ceremony + cocktail hour, 8h, 400 photos delivered. Add a 12×12 album option."
  • "Add a line 'At-home shoot (+30 min)' at $80 before tax to quote #456."
  • "The client turned down the '20×30 print' line. Remove it from quote #456."
  • "Sophie accepted the quote by email. Mark quote #789 as accepted."
  • "Show me my quotes sent over the last 2 weeks that haven't had a reply yet."
  • "Add a line '12×12 album' at $250 including tax to quote #456. It's a sale of goods."

A line your AI adds by hand counts as a service, unless you specify that it's a sale of goods (print, album, frame, etc.). A line created from one of your prices takes that price's type. This type is used to split your revenue between services and sales in the financial dashboard.

Invoices

  • "Create the deposit invoice for Thomas Brown's session."
  • "Create the final invoice for Sophie Martin's session, the quote was accepted."
  • "Add a 'Travel fee' line at $50 including tax to draft invoice #789."
  • "Finalize (lock) invoice #789 so it gets its final number."
  • "Record a $350 bank transfer received this morning on invoice INV-2026-042."
  • "Which invoices have been unpaid for more than 30 days?"
  • "Sophie Martin cancelled. Create a credit note to cancel invoice INV-2026-042."
  • "Delete draft invoice #789, it was created by mistake."

✉️ Emails & communication

Sending emails

  • "Send the family session quote to Sophie Martin with the 'Send quote' template."
  • "Send the deposit invoice to Thomas Brown."
  • "Send a session confirmation email to Claire Moore for her June 20 shoot."
  • "Send a reminder email to all my clients with an invoice unpaid for more than 15 days."
  • "Schedule a reminder email to Sophie Martin 48h before her June 14 session."
  • "Cancel the scheduled email for Lucas's session, he cancelled."

Reading & replying

  • "Which emails haven't I read yet?"
  • "Read me the latest email from Sophie Martin."
  • "Sophie is asking if she can bring her dog. Reply that yes, with pleasure!"
  • "A client is asking whether I offer discounts for large families. Reply in a professional and warm way."
  • "Which emails sent last week haven't been opened yet?"

SMS

  • "Send an SMS to Sophie Martin: 'Hi Sophie, just a reminder of your family session tomorrow at 10am at the park. See you tomorrow!'"
  • "Send a reminder SMS to all clients who have a confirmed session tomorrow."
  • "Send a thank-you SMS to Thomas Brown after his session yesterday."

Creating email templates

  • "Create a 'Quote follow-up' email template with a polite and professional follow-up text."
  • "Create a welcome email template for my new clients with the contact variables and my photographer details."
  • "Create a session confirmation email template that includes the date, the location and my contact details."

Templates can use automatic variables: client details, session date and location, photographer's name and email, etc.

📝 Tasks & organization

  • "What are my current tasks?"
  • "My overdue tasks."
  • "Which tasks do I have to do this week for the June sessions?"
  • "Create a task 'Send the gallery' for Sophie Martin's session, due next Friday at 6pm."
  • "Create a task 'Call the client to confirm the location' for Thomas Brown, due tomorrow at 10am."
  • "Mark task #45 as done."
  • "Update task #89: change the due date to June 20."
  • "Add a reminder to my calendar: call Thomas Brown on June 18 at 9am before his session."
  • "Which task types have I set up?"
  • "Create a task 'Follow up on the quote' linked to Julie Davis, with no session, for Thursday."
  • "Move task #89 to the 'Waiting for client' column."
  • "Create a task 'Back up my drives' every Monday, starting next Monday."
  • "Which tasks do I have for Thomas Brown?"

Your tasks are the cards of your task board: your AI can put them in a column, link them to a session or a contact, and make them recurring. When it marks a workflow task as done, the next steps of the workflow are created, just like in the app.

📊 Statistics & reporting

  • "Give me my weekly summary: sessions done, revenue collected, tasks completed."
  • "What's my revenue for the current month and my end-of-month forecast?"
  • "Compare my activity in April 2026 vs April 2025."
  • "Which session types brought in the most revenue this year?"

  • "Add a step to my newborn follow-up workflow: email 14 days after, 'How is life with your baby?'"
  • "Remove the SMS reminder step from the Wedding workflow, I don't use it anymore."
  • "Change the session type linked to my 'Family follow-up' workflow to 'Premium family'."

🎁 Loyalty & gift vouchers

  • "Who are my 10 clients with the most loyalty points?"

  • "My unused gift vouchers."
  • "Which gift vouchers expire in the next 30 days?"

  • "List Xavier Dawson's photo galleries."
  • "How many orders have been placed on the Fantastic Animation gallery?"
  • "Has Perrine Dupuy ordered her included products?"

🌐 Website

If you've created your website in Website > My website, your AI can read and edit its pages, blocks and images, then publish it. It always works in your draft and only publishes when you ask it to.

  • "Add a Weddings page with my prices."
  • "Write a blog post about preparing for a newborn session, as a draft."
  • "Publish my website."

These tools only appear once your website has been created. Then open a new conversation with your AI.

⚠️ Deactivated modules

The tools of a deactivated module (Companies B2B, Copyright, Family, Loyalty…) don't appear in your AI. After activating a module in Modules > All modules, open a new conversation so your AI can see its tools.

Examples of multi-step requests

These prompts combine several actions in a single request.

"A new client just called. Create a record for Anthony Mercer,
anthony.mercer@gmail.com, (555) 112-2334. Create a couple session on July 5
at 6:30pm by the lake. Then send him a welcome email with the
'First contact' template."

"Sophie Martin accepted the quote by email. Mark the quote as
accepted, confirm the session, and send her the deposit invoice."

"Which emails I received have had no reply for more than 48h? Read
them and suggest a reply for each one."

"I finished Thomas Brown's shoot yesterday. Set his session to the
'Editing' status, create a task 'Deliver the gallery' due in 5 days,
and send him an SMS to let him know the photos are being edited."

"End of month: create the final invoices for all of this month's confirmed
sessions that don't have an invoice yet. Then show me the total
to invoice."

"Go through my unread emails, summarize what's urgent, and send
an automatic reply to pricing requests using
the 'Pricing reply' template."

"Prepare my week: show me the confirmed sessions, the tasks
due this week, and the unpaid invoices to follow up."

"Claire Moore's session is over. Send her a thank-you email,
create an editing task due in 7 days,
and add a note to her record: 'Came with her husband and 2 children,
relaxed mood, loves lifestyle photos'."

"Give me all my clients with a birthday in the next 15
days. For each of them, send a personalized birthday SMS."

"Lucas Bennett is cancelling his Saturday session. Cancel the session in
Fotostudio, delete the related tasks, and send him a
polite email confirming the cancellation and offering to reschedule."

Public connector: chatbot on your website

You can also connect an AI chatbot on your website to Fotostudio. It can answer your visitors' questions: session types, prices, booking links, etc.

  1. Go to Modules > AI Connector, Public connector - website chatbot card.
  2. Click Generate my public token.
  3. Copy the Connector URL and your public token into your chatbot's configuration.

This token is different from your personal AI connection. It only gives access to your business's public information, never to your contacts, invoices or private data. Don't share it publicly: if you think it has been compromised, click Regenerate token or Revoke.

Security & privacy

  • The connection is secured with OAuth 2.0 with PKCE, no password is shared
  • Your AI only accesses the data of your account
  • You can revoke access at any time from Modules > AI Connector, Active connections card
  • Conversations with your AI are not stored by Fotostudio
