How to receive emails from my clients in Fotostudio

To simplify managing your exchanges with clients, our CRM allows you to receive your clients' emails directly in your interface. No need to juggle between platforms anymore: everything is centralized and organized in one place!

Step 1: Retrieve your Fotostudio email address
In the Fotostudio CRM, go to the Messaging menu and then Settings (Sending/Receiving Server).

In the "Receiving" box, select your unique email address (XXX@fotostudiomail.com) and copy it to your clipboard.

Step 2: Enable email forwarding
To start receiving your emails in the CRM, you just need to enable email forwarding from your email provider (Gmail, Outlook, OVH, etc.). Here are the general steps to follow (you will find the specific steps for each provider further down in this article):

Access your email account settings.
Find the email forwarding option.
Add the unique address provided by our CRM as the forwarding destination (copied in Step 1).
Save your changes.
Depending on the provider, a validation email may be sent to your Fotostudio address with a confirmation link. If so, simply open this email from your Fotostudio account (Messaging -> inbox).

This email forwarding option allows you to send a copy of every email you receive in your inbox to Fotostudio.

Email confidentiality
For confidentiality and efficiency reasons, we only process emails sent by the contacts you have already registered in Fotostudio. If you receive an email from someone who is not yet in your Fotostudio contact list, that email will not be opened or stored in our system.

This way, your exchanges are centralized only with your current clients and prospects, ensuring a precise and secure follow-up.

Steps to enable email forwarding in Gmail:
Go to gmail.com and log in with your credentials.

Access the settings:
Click on the gear icon in the top-right corner of the page.
In the drop-down menu, click on "See all settings".
Open the "Forwarding and POP/IMAP" tab:

Add a forwarding address:
In the Forwarding section, click on "Add a forwarding address".
A pop-up window will appear. Enter your unique email address provided by Fotostudio and click "Next".

Confirm the forwarding address:
Gmail will send a confirmation email to your Fotostudio address. Open this email from the CRM and click on the confirmation link.
Once the confirmation is done, return to the Gmail settings page.

Configure the forwarding options:
After confirming, in the "Forwarding" section, select the option "Forward a copy of incoming mail to [address]".

Once you have configured the options as you like, click "Save changes" at the bottom of the page.

Steps to enable email forwarding in OVH:
Go to ovh.com and log in with your credentials.

Access your OVH dashboard:
Once logged in, go to the "Emails" tab in the OVH management panel.

Select your domain:
In the left menu, click on "Domains" or "Email" depending on your account setup, then select the domain or email address for which you want to set up forwarding.

Access the forwarding management:
In the "Emails" section, look for the option "Forwarding" or "Manage Forwarding".
Click on "Create a forwarding".

Set up email forwarding:
In the window that appears:
Origin address: Enter the email address from which you want to forward the emails (your email address).
Destination address: Enter the unique address provided by Fotostudio.

Save the forwarding:
Click on "Validate" or "Save" to finalize the creation of the forwarding.
