How to set up the sale of gift vouchers?

Setting up the sale of gift vouchers on Fotostudio is very simple.

Define your gift voucher pricing



You can allow your clients to purchase a voucher for the amount of their choice. In this case, you don't need to do anything, as this option is offered by default by Fotostudio.

You also have the option to create vouchers based on your pricing, and if you wish, you can allow your clients to choose options.

To do this, go to Settings > Data > Pricing and Billing. On this page, you can create a new "package" type price or modify one of your existing prices and enable the "Show in gift vouchers" option. This way, the client can choose this price when purchasing their gift voucher. If you want to offer options, you can also create other prices but choosing the "product" type.

Once your prices are defined, you can change their display order in Settings > Modules > Gift Vouchers, by selecting the "Configure client view" tab and using drag&drop on your types of shooting and prices.

Purchase procedure



To allow the client to order, you must provide them with the purchase link, by sending it via email, displaying it on your website, or sharing it on your Facebook page, for example. You can find your purchase link at the bottom right of the Settings > Modules > Gift Vouchers page.

You can get a global link, by type of shooting, and even for a specific price.

When your client clicks on the link and arrives at the purchase page, they can then compose their voucher by choosing from the proposed prices and options. They will then be invited to complete their details, those of the recipient, and a personalized message.

In the last step, your client will be able to pay for their voucher directly online if you have enabled this option (credit card or Paypal) or via any other payment method you accept (transfer, check, etc.).

If the client pays online, they receive the voucher instantly. Otherwise, you can easily send it upon receipt of payment.

The gift voucher design automatically generated by Fotostudio includes your logo, your primary color, the personalized message, as well as other practical information (name of the chosen package, voucher number, validity date, etc.).

If you have your own design, you can of course send it to your client and disable the automatic sending of the voucher generated by Fotostudio (by disabling the "Automatically create the design" option in Settings > Modules > Gift Vouchers).

All ordered vouchers are displayed in Settings > Modules > Gift Vouchers.

Here you can see the status of the vouchers (unpaid, paid, used, expired) and consult all necessary information: the amount of the voucher, the buyer, the recipient, etc.

This is also where you can generate the invoice corresponding to the voucher upon receipt of payment (if it was not paid directly online) via the Actions > Create Invoice button.

Using the voucher



When the recipient of the gift voucher contacts you to schedule their shooting, you just need to create a new shooting and check the "Gift Voucher" box then choose the voucher to associate with your shooting.

We advise you to create a specific contract model to send to your client, which for example does not include the price. You can easily duplicate your main contract model and adapt it for your gift vouchers from Settings > Data > Contract Templates & T&Cs.

Make sure to remove the payment plan associated with your shooting to avoid creating an invoice if it is unnecessary. You can remove the payment plan of your shooting by using the Edit button at the bottom of the left column of the shooting file.

If you wish to insert the estimate corresponding to the gift voucher in this shooting, you can easily modify the estimate present in the buyer's client file to associate it with your shooting (you have an "associated shooting" field at the bottom of the estimate modification file).
