Set admin and guest access rights in a gallery

In this article, we’ll see how to configure access rights for different users of a photo gallery. There are two types of access: the main client (such as the couple or the person who booked the session) and guests, who can be grouped into different access groups.


💡 To manage access groups, your gallery must be protected by an access code. This allows you to create multiple links, each associated with a specific group, with customized permissions.


When creating a gallery, you can define several access links adapted to each group to precisely control who can see which photos. Follow this guide to easily configure access rights for your gallery.


Main Client (Administrator)


When creating a new gallery, you can choose a protected access and set the access code for this gallery. This code will become the administrator client’s access code.

The administrator client and the photographer can create access groups for guests and hide photos/folders from specific groups.

Main Access and Groups


The photographer can fully manage access and groups in the gallery settings under the Access tab. Here, they can also decide whether to allow the admin client to create groups. The photographer can create new groups and modify access codes.


  • Main Client: The main client of the gallery will have a unique access code.
  • Groups: You can create different groups (e.g., "Family" or "Vendors") and assign a specific access code to each group.
  • Visitors: Users who signed up, possibly with a favorites list, without placing an order.

Since the gallery is protected by an access code, this code identifies the user at login. In the example above, if the user enters the code "Qi7VwA", Fotostudio recognizes them as the main client. They will then have access to all photos and any included products.

If the user enters the code for family "dH5Qz3", the gallery will only show photos visible to that group, without the included products.


Admin Client Management


When accessing the gallery, the admin client and the photographer have an "Access Management" menu found under the My Account button.

This page shows a "Full Gallery" group, which is present by default in all access-code protected galleries. As the name indicates, this group has access to all gallery photos, and no photos can be hidden from it.


If you don’t want to create new groups or hide photos, you can directly share the access link of this group with all guests.

If the photographer allowed the admin client to manage groups, a button Add Group will appear, allowing them to create a new group.


All access groups are visible on this page, along with the list of hidden photos for each group.

You will also find the access link to share for each group.

If the photographer did not allow the main client to manage groups, they will see the list of groups created by the photographer and can only manage hidden photos.


Hiding Photos


By default, all gallery photos are visible to all groups.


In the gallery, each photo and folder has a "Lock" icon 🔓.

Clicking it will show the list of your access groups, and you can uncheck the group(s) from which you want to hide the photo or folder.


You can also create a new group from this window.

Sharing the Gallery with Groups


The client can share the gallery using the general address plus the specific code for each group, available in the gallery’s access groups management.

They can also share a direct link with the embedded code, available on the same page.



The photographer can share the access code or the link with the embedded code. They can also generate a QR code with the access code included for even easier sharing.



Example of Using Access Groups


For a Wedding


You could create a "Family" group and a "Guests" group.


The "Family" group would have access to most photos, except a few the couple or photographer chose to hide (e.g., some preparation photos).


The "Guests" group would have more limited access. The couple or photographer could hide the "Preparations" folder and some photos from the evening.


For a Newborn Session


You can choose not to create a specific group and simply share the "Full Gallery" access code with grandparents, uncles, aunts, etc.

They can view all photos and optionally place orders independently of the main client.
