Sell during the viewing session

The digital photo pack

If you've turned on the digital pack (see Configure the Viewing module and collections), as soon as the client goes over their quota by rating a photo "Love it", a window offers to move up to the next tier or to buy the photo individually. There's never a silent overage. The cart automatically reflects the chosen tier and the individual purchases.

Products: actual-size projection

The Products screen shows a print at its actual size on your screen or projector: a 30×30 cm print really appears at that size.

  • Screen calibration: a slider to adjust once against an object measured with a ruler, so the displayed size matches reality.
  • Product and variant choice: all the products in your catalog, with their sizes/finishes.
  • Cropping: zoom and move the photo within the product's frame.
  • Frame / gallery wrap: if the product is set up (see Configure the Viewing module and collections), the rendering takes it into account automatically.
  • Add to cart directly from this screen.

Room view: on-the-wall preview

A wall (living room, bedroom, or a photo sent by your client) on which you virtually place products or collections, at their actual size.

  • "In situ" calibration: measure a known reference directly in the wall photo (e.g. "the bed is 1.60 m wide") so the sizes you place are consistent.
  • Room photo linked to the client: if your client sends you a photo of their own wall, it's attached to their contact record and can be reused in every session with them, calibration included.
  • Resizing in steps: when you drag a placed frame, it jumps straight from one available size in your catalog to another.
  • Add to cart directly from the selected frame.
  • Add to slideshow: captures the wall and the frames placed at that moment, and adds it at the end of the slideshow.
  • Portrait or landscape: select a frame and click Switch to portrait (or Switch to landscape). If your catalog offers the size the other way round (e.g. 30×40 and 40×30), that size is used.
  • Replace a product: select one or more frames, choose another product and size in the Products tab, then click Replace the selected item (or Replace the N items). The photo, the crop and the position on the wall are kept.
  • Undo / redo: the arrows at the top of the Room view undo or redo the latest changes to the placed frames. Keyboard: Cmd/Ctrl + Z to undo, Cmd + Shift + Z or Ctrl + Y to redo. The room photo, calibration and cart aren't affected.

Select several frames

  • Cmd, Ctrl or Shift + click on frames to add them to the selection.
  • Lasso: starting from an empty area of the wall, draw a rectangle to select every frame it touches.
  • Cmd/Ctrl + A selects the whole wall, Esc clears the selection, Delete removes the selection from the wall.

Once several frames are selected, you can move them together, remove them from the wall, give them another product (Replace the N items) or group them into a collection.

Split a collection placed on the wall

Select a collection placed on the wall and click Split the collection: each photo becomes an independent frame that you can move, remove or switch to portrait / landscape. The right-hand panel reminds you which collection each item comes from.

  • The button only appears for a collection with at least two items and no sub-collection.
  • Price: if the collection has a price, each item keeps its share of that price (in proportion to the price of its products, or to its surface if it has no product). If the collection is at 0, each item takes the price of its product in your catalog.
  • A free opening (with no product) has no price: it's marked No price on the wall. To give it one, choose a product and size in the Products tab, then click Replace the selected item.

Group frames into a collection

Select at least two frames, then click Group into a collection in the Selection panel. The frames become a single collection, where they are on the wall, which you can add to the cart as a single line.

  • Price: the sum of each frame's price (or of their share, for items that came from a split collection).
  • To group them, each frame needs a photo and a product, and they must all have the same VAT rate. A collection has at most 24 items, and a collection already on the wall must be split first. If products are missing, the Select the items without a price button narrows the selection down to those, so you can replace them all at once.
  • Save the collection: give it a name to find it in the session's Collections tab and place it on the wall again later.

Using your collections during a session

Once your collections are created in advance (see Configure the Viewing module and collections), you fill them in live with your client:

  1. Choose a collection in the catalog.
  2. Click each empty opening to drop in a photo from the library (naturally starting with the ones the client rated "Love it"), and adjust the crop if needed.
  3. Choose the size you want if several are offered: the price shows automatically.
  4. Save as template to find it later without starting from scratch, Add to cart directly, or Place in the room to see it on the wall in the Room view.

The Album screen

Design an album layout right there with your client.

  • Add a style, crop the photos the way you want.
  • Generate the album from all the photos or from a specific selection/list: layouts are suggested automatically based on the portrait/landscape orientation and order of your photos.
  • Download the PDF once you're done. Note that it isn't print-ready (bleed and supplier dimensions aren't taken into account): it's simply a keepsake of the mock-up approved with the client.

The cart and the quote

  • Several carts per session (e.g. one for the parents, one for the grandparents), each with its own recipient contact.
  • Add a line from your products/collections, from the price catalog, or a free line (text + price + VAT). A line can be linked to a specific list (e.g. prints linked to your "Free prints" list).
  • Discounts per line or overall, and a free note per cart (shown on the quote).
  • Generate the quote: creates a real Fotostudio quote, with thumbnails and file names of each photo ordered. A link opens it directly in the client area, in your colors, so you can show it or send it right away.

The order form

Open it from the Viewing session tab of the session page with the View order sheet button. It lists everything that was ordered (photo, product, size, crop) so you can prepare your supplier order. With Load my original photos, you can download a ZIP with all the photos already cropped to the right dimensions.

For each cart, the Notes for this form block shows the text set in the module settings (see Configure the Viewing module and collections). You can adapt it for this form and click Save the notes, or go back to your account text with Back to the account text. Once the form is signed, its notes no longer change.

Have the order form signed

At the top of the order form, the Order form to sign card offers two ways to have your client approve the order.

On paper

Click Print the form to sign (also available in the Viewing session tab of the session page, Order form to sign button). An A4 page opens, one sheet per cart: the photos at the ordered size, the prices, the remarks, the notes and an Approved area with the client's signature and yours (the signature from your visual identity if you've added one). The document is in the client's language.
The thumbnails are previews: click Load my photos and choose the session folder to print each photo with its exact crop. Then click Print.

On the client's phone

Click Send for signature (or Have it signed on a phone from the print page). If the session has several carts, then click Have it signed on a phone for the cart concerned. A QR code appears:

  • the client scans it with their phone, or you email them the link with Send to (the cart contact's address). You can also Copy the link;
  • on their phone, they check the photos, sizes, crops and prices, tick the confirmation box, enter their name and sign with their finger;
  • their signature also accepts the cart's quote.

As soon as it's signed, the page shows "Signed on … at … by …" and a Download the signed PDF button. You receive an Order form signed notification, and the client receives their signed copy by email, as an attachment.

The quote must exist and match the cart. As long as the cart's quote hasn't been generated, or if you've added lines to the cart after the quote, signing is blocked: regenerate the quote from the viewing session cart, then start the signature again. A declined quote can't be signed.

If the cart changes after signing (photos, crops), a message tells you: the signed PDF stays the one the client signed.

Photo references on the invoice

When you create the invoice from the quote generated during the viewing session, the file names of the ordered photos are carried over on each invoice line (PDF and client area). They stay there even if you later delete the order form.

Find the history from the session page

The Viewing session tab of the session page lets you relaunch the viewing session, print the order form to sign, view the order form, see the selections made with your client (with name copying for Lightroom), the related carts and quotes, the composed collections and the lists used, all in one place, without reopening the full-screen view.
