Right of withdrawal for private clients

You are now required to offer your private clients a feature that lets them easily exercise their right of withdrawal (European Union, European Economic Area and United Kingdom).

Good news: Fotostudio is already set up for it, and everything is automatic! 🥳

Here's what's in place:

When the contract is signed

  • When a (B2C) contract is signed, the withdrawal deadline is calculated automatically: 14 days, moved to the next working day in France if the 14th day falls on a weekend or public holiday.
  • If the service date is before the end of the withdrawal period, a mandatory checkbox is shown: it tells the client that they must waive their right of withdrawal if they want the service to take place before the period ends.

The right of withdrawal does not apply to business clients (contacts saved as a company) or to contracts signed in your shop or studio.

Once the contract is signed
  • In the client area, your client will find a Cancel the contract button next to their signed contract. This button is only visible during the withdrawal period. A tooltip shows when the period ends.

Client area

  • By clicking this button, the client opens the withdrawal form. The contract details are filled in, and they can adjust their email and phone and give a reason (optional).

If the client withdraws

Once the client has filled in the withdrawal form:

  • a confirmation email is sent to the client (you have a "Withdrawal confirmation" email template you can customize for this in Templates > Emails)
  • the photographer is notified: a notification is created in the CRM and sent by email. The email invites the photographer to get in touch with their client to refund any amounts already received.
  • the service is cancelled (cancelled status)
  • a credit note is created for each invoice issued. It's up to the photographer to create a negative payment linked to this credit note, matching any refund they make.

The withdrawal form looks like this:

The withdrawal form can be viewed:

  • by the client: by clicking the link received by email, or from their client area by clicking the contract status "Retracted"

  • by the photographer: by clicking the link received by email, or in the "Contracts" tab of the shoot page by clicking the red eye ("See the withdrawal") next to the contract

For gift vouchers
  • Gift vouchers are shown in the client area
  • An icon lets the buyer complete the gift voucher payment
  • A withdrawal button is shown next to the gift voucher in the client area, as long as the voucher hasn't been used

When a gift voucher is withdrawn:

  • a confirmation email is sent to the buyer
  • an email is sent to the photographer
  • the discount code linked to the gift voucher is deactivated (available = 0)
  • a credit note is created

To make this button easy for your client to find, you can simply edit your contract signature confirmation email, for example to add a short note: "You can manage your booking from your client area: {client_page}".
